Privacy Policy

Where we refer to “we”, “us” and “our”, we mean Top Benefits Schemes Limited.

We treat your privacy very seriously and we do all that we can to ensure that the data held about our customers is protected and used correctly.

This Privacy Policy sets out what information we hold about you as a member of Virgin Money Back and the ways in which we use this information to provide the service.

Virgin Money Back is provided by Top Benefits Schemes Limited. Top Benefits Schemes Limited will collect and control your personal data so that they can operate your Virgin Money Back account.

Virgin Money Back is promoted by Virgin Money plc. Their company number is 06952311 and their registered office is at Jubilee House, Gosforth, Newcastle upon Tyne NE3 4PL. Virgin Money plc is authorised by the Prudential Regulation Authority and regulated by the Financial Conduct Authority and Prudential Regulation Authority.

How we collect your information and the type of information we hold

The information we hold about you will include the information you give to us when you registered for your Virgin Money Back account (such as name, date of birth, post code, email address and password).

In order to track any cashback you earn from your online purchases, we will also keep a record of your clicks to retailers’ websites and we will keep a record of your transaction details, including how much you spend on those websites and how much cashback you earn. Information about your visit may be collected automatically and may include the full URL clickstream to, through and from the Virgin Money Back website, products viewed or searched for, page response times, length of visits to certain pages, page interaction information and methods used to browse away from the page. We may automatically collect technical information such as your IP address, browser type and information, browser plug in types and versions, your login information and your operating system and platform.

In order to pay you cashback, we will hold your payment details. This means that you will need to provide us with your current account details in your Account. This data is only used for the purpose of paying cashback to you.

We may hold any other data that you send to us by email.

How we use your data

We will use your contact details to communicate with you and manage your account, to administer the Virgin Money Back website (which includes trouble shooting, data analysis and testing), to fulfil our regulatory and legal obligations and to remind you about the features and benefits of your account. Some of our service emails are essential to the administration of your account and so it is not possible to opt out of these but you can opt out of receiving marketing communications from us at any time within your account settings.

We also use your information to help provide a better service to you in the future by monitoring how you use the Virgin Money Back website. For example, we may use data about your purchase and click behaviour to email offers to you which we believe will be of interest to you.

It is possible that we will wish to use your information in unanticipated ways, not stated in our Privacy Policy. In this event, we will contact you before using your data for new purposes, so that you may opt-out if you wish.

Who might we share your information with?

From time to time, we may share your information with other people or organisations (who are also bound to keep it safe and secure) if we have a duty to disclose it, if it is required for the management of your account, if law or regulation allows or requires us to do so, or for legitimate business purposes. For example, we may share it with:

  • Virgin Money plc and companies within its group to help them to understand how you use Virgin Money Back and to help to respond to any complaints or enquiries that you have;
  • Companies within our group; and
  • Our service providers and agents; in some cases this might include those outside of the European Economic Area.

We will not pass your personal data to other third parties, unless specifically requested to do so by you or where it is required to help obtain, track or validate cashback earnings and administer your account.

How secure is your data held by us?

We treat the security of your data extremely seriously and have a number of measures in place to ensure that your data is not compromised or accessed unless absolutely necessary to offer our services.

All of our data is held on secure servers and your password and payment details are encrypted. Only staff members who need this information to provide the service have access to this data and they will only see limited information such as the last four digits of your bank account number.

Where we have given you (or you have chosen) a password which enables you to access certain parts of the Virgin Money Back site, you are responsible for keeping this password safe. We ask you not to share your password with anyone.

However, the transmission of data on the internet is not completely secure and is at your own risk. We cannot guarantee the security of data that you transmit to the Virgin Money Back website but we will do our best to protect your personal data and we will use strict procedures and security features to prevent unauthorised access to it.

Cookie policy

Cookies are small pieces of data or information that are stored by your browser onto their hard-drive. The information cannot be seen by any other websites (so the information is secure) and is used by us to provide features to aid the use of our services.

In order to track your purchases, cookies are stored on your computer, and they contain tracking information so that when you visit a retailer through Virgin Money Back, any purchases made will result in the retailer reading this information. The retailer will then send us information about your purchase, at which point we can then credit your account. Therefore, in order to use the Virgin Money Back service and earn cashback, it is a requirement to have cookies enabled in your browser software.

For more information regarding the use of cookies, please visit http://www.allaboutcookies.org or http://www.microsoft.com/info/cookies.mspx.

How long will we keep your information?

We will not retain your personal information for longer than is necessary for the maintenance of your account, or to meet other legal or regulatory requirements.

How can you access and update your information?

You can update your details on your Virgin Money Back account by logging into your account and going to your Account. If you believe that we hold any inaccurate information about you, you can contact us by emailing enquiries@virginmoneyback.com.

Updating your details (including marketing preferences) on your Virgin Money Back account will not automatically update your details on your Virgin Money Credit Card account so you will need to contact Virgin Money plc separately if your details for your credit card account or other accounts have changed. Please see http://uk.virginmoney.com/virgin/contact/ for more details about how to get in touch with Virgin Money plc.

For a small administration fee you can access the information we hold about you. You can also ask us to change or delete any of your personal information that we hold. If we can, we will but sometimes we have to maintain records for legal reasons.
